Best expense management software with AI

Expense software captures the receipt, matches the card and routes the approval. The AI added to it does three jobs: it checks each charge against policy, builds or matches receipts, and audits the lines after the fact.

Some tools apply policy to every card transaction, one flags outliers for approvers, one adds a compliance layer, and one audits on top of an existing tool. Pages differ on how much they say about accounting links, so each entry notes what is missing.

  2. 2
    Ramp

Teams that want card spend checked against policy as it happens

  3. 3
    Expensify

Small and mid-sized teams that want scanning, approvals and a card on one platform

    Brex

Teams that want AI to build receipts and approve in-policy spend

  6. 6

1ChatFin

chatfin.ai

ChatFin reads what an expense tool has already captured and reviews what the tool was never asked to judge: whether the receipt supports the claim, whether the approval was actually performed and whether the coding will survive the close. It does not replace an expense tool.

Best for

Finance and audit teams that already run an expense tool and want approvals measured and duplicates found across card, claim, payables and travel data.

What it does

  • Reads the card feed, claims, payables and travel bookings together to find duplicates such as a dinner claimed by two attendees or a hotel paid on a card and claimed again as cash.
  • Measures approval time, batch behaviour, rejection rate, reciprocal approval and delegations that never ended, reported as measurements rather than accusations.
  • Validates coding before the expense posts.

AI features

Approval control measurements
Reports five measures of whether the approval control operates, such as a consistent two second approval interval.

Connects to

Expense tools, Card feeds, Payables, Travel bookings.

The page says ChatFin reads the data the expense tool captured and the card feed, claims, payables and travel bookings; it names no products or connection methods.

Pricing

No pricing is published; ChatFin sells through demos, and its free trial page says the trial is open to selected companies only.

Watch out for

The page says ChatFin does not replace an expense tool and is aimed at the judgements receipt capture, card matching and approval routing do not make.

2Ramp

ramp.com

Ramp's guide to AI expense management, updated 9 September 2026, describes a Policy Agent and receipt matching built into its corporate card and expense product.

Best for

Teams that want card spend checked against policy as it happens, with only genuine exceptions sent to a person.

What it does

  • The Policy Agent reviews 100% of transactions and routes only genuine exceptions to a human, and Ramp says it catches 7x more out-of-policy spend than rule-based systems at 99%+ accuracy, both Ramp claims.
  • Receipt matching uses OCR to extract merchant name, date and amount and match the receipt to the card transaction, and suggests matches for receipts that fail.

AI features

Policy Agent
Always-on AI reviewer trained on a company's real policy that reviews every transaction.

Connects to

Accounting systems.

Pricing

No prices published; the page links to a pricing page.

Watch out for

The page is Ramp's own guide, gives no basis for its accuracy figure, and names no accounting systems; it notes that OCR results may need review.

3Expensify

expensify.com

Expensify calls itself an all-in-one expense management platform, with SmartScan receipt capture, approvals, the Expensify Card and Concierge AI.

Best for

Small and mid-sized teams that want receipt scanning, approvals and a card on one platform, with accounting links such as QuickBooks, NetSuite and Xero.

What it does

  • Receipts are scanned by photo, email forward or file upload.
  • Approvers can review every report or ask Concierge AI to flag only the outliers.

AI features

Concierge AI
Flags outlier expenses so approvers do not review every report.

Connects to

QuickBooks, NetSuite, Sage Intacct, Xero, Workday.

Pricing

Free for individuals; company plans start at $5 per member, which can be offset by Expensify Card cash back; a free 30-day trial is offered.

Watch out for

The page says the card's cash back applies to US purchases only and that the card may not be accepted at all merchants that accept Visa.

4Brex

brex.com

Brex expense management combines corporate cards, spend controls, budgets and expense reporting, with policies enforced at purchase.

Best for

Teams that want AI to generate receipts, approve in-policy spend automatically and suggest GL coding for accounting.

What it does

  • Auto-approves in-policy spend and declines out-of-policy spend without manual review.
  • AI creates receipts, memos and attendee details, and matches texted-in receipts to expenses.

AI features

Brex AI
Applies the expense policies a company sets to every transaction.

Connects to

NetSuite, QuickBooks, Xero, Sage Intacct.

Pricing

No prices published.

Watch out for

The page implies receipt auto-generation covers only supported merchants and says time savings vary with current workflows.

5Emburse

emburse.com

Emburse sells expense, travel, payments, AP automation and audit products.

Best for

Larger teams that want travel and expense with a separate AI audit and compliance layer.

What it does

  • Expense Management, Expense Enterprise and Expense Professional are listed as products.
  • Pre-submission intelligence covers categorization, VAT reconciliation and multi-currency support.

AI features

Emburse Assurance
A compliance layer that the page says uses AI.

Connects to

Integration Directory.

Pricing

No prices published.

Watch out for

The home page names no integrations, pricing or limits, so ask for the ERP and card integrations for your setup.

6AppZen Expense Audit

AppZen. appzen.com

AppZen's expense audit product reviews every expense report, line item and receipt on top of an existing expense system, without replacing the system of record.

Best for

Teams that already have an expense tool and want every line audited for fraud, duplicates, policy and regulatory issues.

What it does

  • Matches receipts against expense reports, cards and invoices, including near-duplicates across employees and periods.
  • Flags AI-generated fake receipts, expense splitting to avoid thresholds and inflated amounts, per its FAQ.

AI features

AI Agents
General agents with no expense agent named.

Connects to

SAP Concur, Workday, Emburse, Oracle, Coupa, Rydoo, Cytric.

Pricing

No prices published.

Watch out for

The page's claims of up to 80% automation and up to 50% lower finance operating costs have no stated basis, and human reviewers step in for exceptions.

Which one fits

  • You already run an expense tool and want approvals measured and duplicates found across card, claim, payables and travel data

Pick ChatFin. It reads what an expense tool has already captured and does not replace an expense tool.

  • You want every card charge checked against policy at the time of spend

Pick Ramp. Its Policy Agent reviews every transaction and sends only exceptions to a person, per Ramp's guide. The accuracy figure is Ramp's own.

  • You need scanning, approvals and a card at a low price

Pick Expensify. Company plans start at $5 per member, and Concierge AI flags outliers so approvers do not review every report.

  • Receipts and GL coding take up the accounting team's time

Pick Brex. Brex AI creates receipts and suggests GL coding, and its native integrations cover NetSuite, QuickBooks, Xero and Sage Intacct.

Questions to ask in a demo

  • Where does the AI act: at the card swipe, at report submission or after approval?
  • Which accounting systems do you post to, and how are codes and dimensions mapped?
  • How does a person see, override and record a decision the AI made?
  • What does the AI cost beyond the base plan?

How we chose

We picked six tools for the job and checked every capability, integration and price on the vendor's own pages on 29 October 2026, or on a filing or news report. Figures are the vendors' own claims unless noted. We started from six products and kept the ones whose own pages describe AI for expenses.

One was not fetched in this pass, so it is left out. One entry's source is the vendor's own guide updated in September 2026, and the entry says so. ChatFin's entry uses facts from its own pages, checked on 29 October 2026.
