Top 6 accounting tools for restaurants and hospitality

Restaurant finance runs on invoices, inventory counts and food cost, usually across several locations. One tool here has its own general ledger. Three handle invoices, recipe costing and food cost, then sync to a separate accounting system.

One is AP automation that started in restaurants, and one covers inventory, food cost and labor for large chains.

1Restaurant365

Restaurant365 (private). restaurant365.com

Restaurant management platform that combines restaurant-specific accounting with inventory, purchasing, workforce scheduling and payroll in one system.

Best for

Small businesses, multi-location groups, franchise brands and accounting firms across QSR, fast casual, casual dining, fine dining, coffee shops and pizza.

What it does

  • Accounting with a restaurant-specific chart of accounts, daily sales and bank reconciliation, automated AP, custom reports and real-time financials.
  • Inventory and purchasing with food cost tracking, vendor integrations, waste and recipe costing, prep tools and price alerts.

AI features

R365 AI
Intelligence engine announced 12 May 2026, described as built on the full restaurant P&L (accounting, inventory, labor, scheduling and POS data).

Connects to

Toast, Sysco, Gordon Food Service, Ben E. Keith, McLane, Cheney Brothers, Freshpoint, Coca-Cola, Cintas, Edward Don & Company, Fintech, Snowflake.

Pricing

The official pricing page publishes no prices and asks for a custom quote.

Watch out for

NerdWallet lists an implementation fee and notes it could be excessive for very small, single-location restaurants.

2MarginEdge

MarginEdge (private). marginedge.com

Restaurant back-office platform that digitizes invoices, tracks ingredient prices, costs recipes, handles inventory and bill pay, and produces daily P&Ls without manual data entry.

Best for

Independent restaurants, multi-unit groups, commissary kitchens and the accountants who serve them.

  • Automated invoice processing with unlimited invoices, product price monitoring and alerts, and free vendor statement reconciliation.
  • Daily P&Ls, plus food usage measured by comparing purchases and sales with on-hand counts.

Connects to

QuickBooks, Toast, Square, SpotOn, 7shifts, Sage, Gordon Food Service, BEK.

Pricing

$350 per location per month.

Watch out for

Toast users pay extra: a pass-through API fee plus Toast's own $50 per month per location Restaurant Management Suite subscription, which Toast requires for API integrations.

3xtraCHEF by Toast

Toast, Inc. (NYSE: TOST). support.toasttab.com

Toast's back-office product for invoice automation, accounting sync, food cost analytics, recipe costing and inventory.

Best for

US restaurants running Toast POS.

What it does

  • Digitizes and archives invoices, extracts line-item detail and shows spending trends, ingredient-level price changes, food costs and operating margins.
  • Two tiers: xtraCHEF Essentials covers invoice automation and accounting sync; xtraCHEF Pro adds food cost analytics, recipe costing and inventory management.

AI features

Toast IQ
Toast-wide conversational AI assistant (expanded 29 October 2025) with a For you feed of recommendations, plain-language business questions, margin checks on new items, and actions such as menu updates and shift edits. It is a Toast platform feature, not specific to xtraCHEF; coverage did not mention invoice or food cost features.

Connects to

Toast POS, QuickBooks Desktop, QuickBooks Online, Sage Intacct, NetSuite, Restaurant 365, Xero, Sage 50, Sage 100, Microsoft Dynamics, Oracle E-Business Suite, Bill.com, Compeat, Crunch Time, CTUIT, Jonas, Rosnet, Yardi (VendorCafe).

Pricing

xtraCHEF Essentials $179 per month per location (invoice automation and accounting system syncing). xtraCHEF Pro $279 per month per location (adds inventory management and recipe costing).

Watch out for

Toast states the only true integrations xtraCHEF makes are to Toast and QuickBooks.

4Craftable

Craftable (private; Gauge Capital investment in 2023). craftable.com

Hospitality back-office platform that combines procurement, inventory, recipe costing, AP automation, payments, analytics and AI decision support in one system.

Best for

Full service and limited service restaurants, bars, hotels, resorts and food and entertainment concepts.

What it does

  • AP Automation that matches invoices to purchase orders and routes approvals.
  • Inventory and recipe management linking counts, recipes and theoretical usage to track variance, plus centralized vendor ordering.

AI features

Invoice AI, Mapping AI and Item AI
Craftable AI agents announced 10 November 2025: Invoice AI reads and codes each invoice line item in near real time; Mapping AI suggests or creates item and GL account matches; Item AI adds descriptions, images, nutrition and supplier data. Craftable claims 99%+ accuracy on known vendors.

Connects to

Sage Intacct, M3, US Foods, Avendra (punchout ordering).

Pricing

Not published.

Watch out for

The Sage Intacct integration is one-way (bills and vendors flow from Craftable into Intacct), setup needs an Intacct admin, and options such as classes, departments and vendor codes must be switched on by Craftable's integration team.

5Ottimate

Ottimate (formerly Plate IQ; private). ottimate.com

AI accounts payable automation platform covering invoice capture and coding, approvals, PO matching and vendor payments.

Best for

AP managers, approvers, controllers and CFOs in hospitality (restaurants, hotels, resorts and casinos, country clubs, senior living), grocery and retail, healthcare, and accounting firms.

What it does

  • Invoice capture that reads header, footer and line-item detail (Ottimate claims 98% accuracy), invoice coding, approval automation and PO Match.
  • Catch Cost Discrepancies compares POs, receipts and cost files; Invoice Trust Scores flag invoice risk and changes.

AI features

Ottimate Copilot
Conversational AP assistant (announced 5 August 2025) that answers AP questions, carries out routine AP tasks, flags anomalies, tracks approvals across locations and generates reports on request.

Connects to

QuickBooks, NetSuite, Sage Intacct, Acumatica, Microsoft Dynamics, SAP, Xero, Restaurant365, Compeat, M3 ERP, Fourth, ChowNow, Jonas Club Software, AccountEdge.

Pricing

Not published.

Watch out for

Ottimate is positioned as AP automation: its restaurants page lists invoice coding, approvals, VendorPay and cost discrepancy checks, with no inventory counts or recipe costing, so restaurant groups that need food cost control would pair it with another tool.

6Crunchtime

Crunchtime Information Systems (private; Battery Ventures-backed). crunchtime.com

Restaurant operations platform for multi-unit brands covering inventory and food cost, labor and scheduling, operations execution, kitchen display and learning.

Best for

Multi-unit restaurant brands and their franchisees, with roles for operations, IT, finance, training, food safety and HR.

What it does

  • Tracks individual ingredients to show waste and actual versus theoretical food cost variance.
  • Suggested orders based on on-hand quantity, static or dynamic pars from consumption and sales forecasts, and delivery dates.

AI features

AI Forecasting
Predicts sales, guest counts or checks and drives suggested prep.

Connects to

Toast, Simphony, NCR Aloha, PAR, Square, Qu, Revel, NetSuite, QuickBooks Online, Workday, Great Plains, JD Edwards, Sysco, US Foods, Gordon Food Service, PFG Performance Food Group, ADP, Paylocity.

Pricing

Not published.

Watch out for

Crunchtime's product list covers inventory, labor, operations, kitchen, guest management and learning but no general ledger or AP module, so finance teams still need a separate accounting system (its listed accounting connections are NetSuite, QuickBooks Online, Workday, Zoho, Great Plains, JD Edwards and Lawson).

Which one fits

  • You want accounting, inventory, scheduling and payroll in one restaurant system

Pick Restaurant365. Restaurant365 has its own general ledger with a restaurant chart of accounts and imports Toast sales and labor every day. Its blog puts Essential at $469 to $499 per location a month, and NerdWallet notes an implementation fee that may be too much for a single location.

  • You run an independent restaurant on QuickBooks and want daily P&Ls

Pick MarginEdge. MarginEdge costs $350 per location a month with no traditional setup fee and sends bills and journal entries to QuickBooks. Toast users also pay an API fee plus Toast's $50 a month suite per location.

  • You already run Toast POS in the US

Pick xtraCHEF by Toast. xtraCHEF Essentials is $179 per location a month, and Pro adds recipe costing and inventory for $279. Its only true integrations are Toast and QuickBooks; other accounting systems get CSV exchanges.

Questions to ask in a demo

  • Which accounting systems get a true two-way integration, and which get a CSV export?
  • What does the POS integration cost us on top of your subscription?
  • What is the implementation fee for a group our size?
  • Which AI features are live for all customers, and which are early access?

Where ChatFin fits

Restaurant groups that keep their books on NetSuite, Sage Intacct or QuickBooks Online can add ChatFin for AP and close work: it extracts invoice data, matches and codes it in the ERP, and routes each posting to a named approver.

Its pages do not describe recipe costing or food cost tracking, so it sits next to one of the tools above.

ChatFin for AP invoice processing

How we chose

We picked six tools for the job and checked every capability, integration and price on the vendor's own pages on 9 October 2026, or on a filing or news report. Figures are the vendors' own claims unless noted. One tool has no general ledger.

It is here as the option for large chains and pairs with an ERP. One vendor's product pages blocked our checks, so its facts come from its support pages.
